How long we retain your data

Operational & Workforce Data

  • Post-Cancellation Data Cleansing: If you choose to terminate your standard monthly subscription, all secure system access records, internal workflow documentation, and client-specific onboarding files are permanently and securely deleted from our agency records within 30 days of account closure.

Financial & Transactional Records

  • Corporate Billing Logs: As a legally registered US corporation (Phoenix Trading Inc.), we are required by US federal tax laws and IRS compliance guidelines to retain corporate transactional history, invoice records, and tax-related billing documentation for a mandatory period of 7 years. This raw data is encrypted and accessible only to our internal financial audit controllers.

Technical Verification & Security Data

  • System Logs & Portal Entry: Automated security logs—such as portal login attempts, IP address records used for password resets, and firewall verification data—are automatically overwritten or permanently purged after 90 days to maximize server performance and maintain system hygiene.

  • The Right to Erasure (“The Right to be Forgotten”): Upon the cancellation of your Crew SWAT subscription, you have the right to request the permanent deletion of all operational files, workflow documentation, and portal access logs. This data will be securely purged from our servers within 30 days.
  • The Right to Restrict Processing: You retain the absolute right to revoke our crew’s access permissions to your internal business tools (e.g., QuickBooks, HubSpot, OpenPhone) at any time directly through your own software admin dashboards.

Important Legal Exceptions

Please note that these data erasure rights do not extend to any administrative, legal, or security data that Phoenix Trading Inc. is explicitly mandated to maintain for regulatory purposes.
